Even though some established organisations have Service Level Agreements in place, ITIL can give suggestions and guidelines to enhance the service provided.

Many organisations have processes in place – many of these having evolved from verbal to paper to system based agreements.

Often implementing a service management software system can be the opportunity to review those processes and put improvements in place based on ITIL. Sometimes it may be as simple as sticking with the process that is working and automating parts of it.

If you are coming from a paper-based system, one of the huge advantages you get immediately from putting in a service desk software tool is that you will get some level of automation. How quickly you can implement and make process gains depends on how easily configured the system is. You need to be able to change rules and change work flows easily depending on feedback from the business.

A flexible system is far easier to automate. The key to good management of a help desk solution is to be able to choose your processes and workflows that are repetitive, automate them and free up your resources for more skilled work. Successful automation allows you to restructure your resources so that you can place lower skilled resources on the front line that pass issues that cannot be resolved quickly to more skilled people.

The first challenge is to define what services you will provide. This is the same whether it is an internal business unit or external customers. Understanding what is needed to provide that service then naturally flows. For example, how many resources are needed? If there are problems or the service needs to be changed, how will I respond?

Once services are defined, service level agreements (SLA) must be established and these set expectations. For many customers, the SLA is often “yesterday or as soon as possible”. The challenge for IT is in understanding all the parts needed to provide that service. What is often overlooked is the flow on agreements that must be in place. You need to understand who are your partners and suppliers that are involved in the service chain and how will they meet your requirements before agreeing to any SLA with the business.

Agreeing service levels without knowing all the facts to deliver a service is a recipe for failure, but unfortunately this is all too common.

For example, if you are providing an email service, supported by an email server. In the event of server failure, your agreement with your supplier is to fix or replace within 24 hours. However, if your customer needs their email back within 1 hour, there is a high likelihood that you will be 23 hours outside of your SLA. In this case, other resources must be considered, such as a backup email server. With the additional server, the cost to provide your email service must increase – based on your customer requirement. The decision then is placed back on your customer with the facts of providing the service. Traditionally, your customers might have had the view that “it just needs to be working” and disregard the cost to deliver the service.

This puts the focus and onus back onto the business: “if I want this, then I have to pay this much for it”. Traditionally, business/customers say “but this should just happen, I’m the customer and it just needs to work”. But they’re not looking at how much they are paying for that service. ITIL best practice highlights the need to get the facts before making any commitments.

Communication between IT and your customers is vital. Merely looking at the business / IT interfaces without going back through the components of the service chain is not good practice. Today, as businesses evolve and more stringent needs are required, process reviews are taking place and agreements renegotiated with customers.

Most retailers invest a little in mannequins simply to fill out their window displays.  Well, they soon discover that there are so many other benefits!  Mannequins can not only help you to make money, but can actually save you money, influence your customers to buy, reduce your losses, and save your employees’ time.  Here we’ve listed just a few ways that mannequins can help you.  Once you start getting into them you’re bound to discover new and exciting ways to use them.

Almost all sales are unplanned.  This is why it is so important to influence the people that pass by your store.  Consumers have a deep seeded desire to fit into a group or vision that they have of themselves.  When looking to buy clothing, they go through a process of imagining themselves wearing the clothes, what they might be doing while they are wearing them, and how that might make them feel.  If all areas of their decision making process are satisfied, they are likely to make a purchase.

Using a mannequin not only gives them the subconscious approval of other human beings, but also forces the image of the clothes being worn into the mind.  The consumer instantly starts going through the process in their mind whether they planned to or not.  Even if they would have never looked twice at the clothes on the rack, seeing them on the mannequin almost forces them to consider it.  This is a powerful marketing tactic that helps boost sales.

Mannequins throughout the store can help your customers to locate items that they may be interested in.  If they pass the front of the store and nothing really grabs them, they are likely to stop wasting time and leave.  But mannequins offer a big visual clue as to what is in store if they keep travelling deeper in.  They may see dress mannequins in the back that catch their eye.  Big hats or brightly colored clothing are helpful here, too.  This gives you the opportunity to have customers check out your other promotions along the way.

Mannequin displays can also help you to reduce losses.  Put them in areas where shoplifters might think that they will find some cover.  Mannequins, especially tall or elevated ones, give people the feeling that they are being watched.  This is often enough to deter a thief.  It is especially effective if you spotlight the mannequin or arrange things in a way that give the shoplifter little cover.  Don’t put circular racks in a back corner, it is too easy to hide from the cameras, mirrors, employees, etc.  Open bottom tables are better displays for these areas, or simply leave the floor clear and rely on spaced out gridwall or slatwall displays.

Department stores and other retail chains are very limited in what they can do.  They are controlled by a corporate vision that they must strictly adhere to.  Everything in a store contributes to its image.  The types of hangers that they use, the style of garment racks, the color of the wood trim, the volume of the music, and more.  The goal when you are creating your brand is to be consistent in enough areas that customers know exactly how your store makes them feel.

Getting customers to feel something for you requires some inventive measures.  You’re not really tricking the customer, but rather giving them a certain experience.  If you play club dance music in your store, customers are likely to buy things that they would wear when they went out on the town.  If you play folk music, they are more likely to buy organic cotton casual wear.

Use your personality and taste to bring the customer into the feeling that you get when you are in your store.  Many boutiques adopt the “controlled chaos” decorating scheme where nothing seems to go together, and therefore it does.  It’s deliberately chaotic.  This can work really well when you want to continually add odds and ends into your collection.

Really, that is a great way to do it.  Shop antique stores, garage sales, estate sales, and online auctions to find truly unique furniture and store fixtures.  Think outside of the box.  You can use a mannequin to display clothing and accessories, this is true.  But you could also screw hooks all into a mannequin’s body and use it to display your necklaces or hats.  A chair could be just a chair, or it could be discretely hung from the ceiling in a corner for an eye-catching piece of art.

The possibilities are truly endless when it comes to decorating a boutique, but be careful not to go overboard.  Cluttered is not necessarily your goal, because it can distract a customer from buying anything.  If it looks like work to sift through a garment rack or table display, then most people will skip it.  Our eyes are drawn to order.  So, even if your store is filled with knick-knacks, your clothing racks can still remain orderly and easy to sift through.

Assuming you are equipped to handle the administrative functions of trekking out on your own (which is another article in itself), the next step is to begin building a client base. However, if you want to be successful in this highly competitive profession, you must not only build a client base, but you must build a solid client base. To help you on your way, I have complied five tips for building and improving your client base that I have found useful in my own work:

   1. Form Partnerships with Other Vendors:      When I was first getting started, my company was able to secure a contract with four major print centers which referred all of their clients who needed graphic design and typesetting work to us. In turn, we would complete the project and send the job back to the center to be printed. Not only did this provide us with a steady workflow, but we also established valuable relationships with new clients who would trust us with work in the future.

      I highly recommend forming relationships with other vendors. Print shops often need designers who can provide them with print-ready files, small marketing and public relations firms often need a reliable designer they can send work to, and many designers get overloaded with work and would love to pass some on to others in need of it. Get out there, make friends, build relationships and you will find good work.

   2. Network, Network, Network!      As you grow your list of contacts, you will find that something good starts to happen; you will gain momentum. When you build relationships you will find that the best way to gain new clients is through your established ones. Be clear to all of your clients about the services you offer and they will remember you the next time they hear of someone with a need you can fulfill.

   3. Charge What You Are Worth.      This is one of the most difficult things for a designer when they first begin to freelance. Inevitably, the temptation to discount your work will always come. The most frequent phone call I get is one where the prospective client needs something “simple” but really means “cheap.” Resist temptation. While there are times when these phone calls can lead to valuable client relationships, the majority will often lead to more calls asking for discounted work.

      Run the numbers beforehand. Establish your pricing and be clear about it with your clients. If you find that you absolutely must accept discounted offers, clearly represent how much you would normally charge and mark the discounts on the final invoice. This way, your clients will at least know what you would usually charge when they recommend you to others.

   4. Learn How to Say No.      Learning how to decline projects is an integral part of working on your own. Bad projects eat your time, create frustration, and cost you money. Establish your criteria for accepting a project and stick to it. You are much better off seeking and planning for the right job, than you are accepting the wrong one. Accepting only the good jobs will help you network with the right kind of clients and produce better work for you in the future.

   5. Stay Focused.      Focus! Focus! Focus! This is more of a tip for internal use than it is to outwardly seek clients. However, it is the most important advice I can give. So many projects remain incomplete because designers lose focus and turn their attention elsewhere. Whatever your goals are, write them down, create a plan, and stay focused on achieving them. Designers who run a tight ship are almost always the ones who achieve success in this industry

A GPS tracker works by using a triangulating algorithm to give the precise location of the vehicle it is fitted to. This information is fed through to a remote-operating centre, which can then chart the location of every vehicle in the fleet. Through this mapping system, fleet managers can prioritise routes or re-allocate a vehicle to a pick-up, minimising the time that the customer waits for their collection and maximising efficiency. The utility services and network companies running fleets of mobile engineers are also finding this system extremely useful, as it allows them to allocate call-outs to the nearest available vehicle. Courier and delivery services have been using vehicle tracking systems for several years and were the first organisations to really appreciate the benefits of such a system.

Vehicle tracking systems don’t just relay information on a vehicle’s location, though. Good quality systems can also provide fleet management professionals with additional information such as the speed of a vehicle. Speeding is an extremely inefficient operation as increased speed invariably means increased fuel consumption. Major fleets that have used these systems have been able to reduce their annual fuel bills by up to 40% just through the information provided by vehicle tracking systems.

By spending a little company capital at the outset, a GPS vehicle tracking system can help facilitate effective scheduling, which results in a reduction in the amount of time vehicles are standing idle or not being used at optimum efficiency. They can also reduce delivery time delays and improve supply chain management by enabling fleet managers to prioritise routes. This leads to better customer relations as fleet managers are able to give their customers more accurate estimated arrival times.

Another saving comes in a more unexpected area. Fleet insurance policies can be cripplingly expensive, particularly for small and medium sized companies. However, insurers now regard vehicle tracking devices as a major force in the fight against vehicle theft and offer substantial policy discounts for fleets with GPS trackers fitted. Faster recovery times of stolen vehicles, a reduction in the potential damage to stolen vans and cars by thieves and eliminating the need to hire replacement vehicles to cover the shortfall left as a result of a vehicle theft all add up to a considerable annual saving.

Vehicle tracking systems can also tell a fleet manager if vehicles are being used out of hours by drivers for their own, personal use. Technically, this could be regarded as misappropriation of a company vehicle and can cost firms a great deal of money over the course of a year. If a driver knows that their movements are being plotted by a remote GPS tracking device, then he or she will be less inclined to use a company vehicle inappropriately. Again, this all adds up to savings for the company.

In a time of recession, every business is looking for ways to improve productivity, efficiency and cut costs. Although it may seem strange to advocate spending money on a complex vehicle tracking system during these lean times, the long-term savings these systems represent are financially prudent and an essential part of effective fleet management.
